General Rules & Conditions

Check-in

  • Check In time starts at 14.00 hrs to 19.00 hrs.
  • Guests needing early check in should arrange with front office staff. Where no arrangement has been made, guest not checked in by 19.00hrs will be treated as no show.
  • Guest will be required to make a full payment for their stay before keys and remote controls of the TV and Aircons are handed to them.
  • A fully refundable cash deposit of BWP250.00 (two hundred and fifty) will have to be paid and it will be refunded on departure day after inspection of the room.

Check-out

  • Check out 10.00 hrs.
  • Guests needing late checkout should arrange with front office staff. Please tell us in advance if you require a later Checkout and we will do our utmost to accommodate your request.

Room keys on arrival

  • During normal working hours the keys will be handed over to the guest after payment and administration. Special arrangements for key collection must be made for late arrivals.

Room keys on departure

  • Please hand over the keys to the front office staff before departure.
  • The invoice will be prepared overnight and handed to the guest before departure.
  • A house keeper will be quickly inspect the room before the deposit is refunded.
  • Guests do not have to lock the door on departure. However please close the door
    completely when leaving.

Room keys during long term stay

  • Long term stay over guests must lock their rooms on their way out and keep their set of keys for the duration of stay. The long term stay over guests must hand over their keys on the day of departure.

Lost key or damage to locks

  • The cost for replacement of lost room keys or damaged locks is applicable and a total amount of BWP 250.00 for lost keys and BWP 500.00 for lock replacement to be paid immediately.

Breakfast, Lunch and Dinner

The above meals are served in the dining area, veranda or gazebo. In winter the veranda and gazebo areas will be closed off with a canvas and a gas heater will be provided.

Lunch and dinner are provided only on request. Please let the front office know, the day before for a lunch request and in the morning for a dinner request. Our menu is attached for you to
chose from. Please note that the menu may change depending on the season.

Breakfast

06.30 hrs to 09.00 hrs weekdays.

07.30 hrs to 10.00 hrs holidays and weekends.

Lunch

12.30 hrs to 14.30 hrs daily.

Dinner

19.30 hrs to 21.00 hrs daily.

Pitikwe Hill Entertainment Area

Pitikwe Hill Guesthouse has a well maintained garden at the back of the facility with a swimming pool, 2 lounges, 2 external ablutions (1 for men and 1 for females) and an external shower for exclusive use by guests and their visitors. The big veranda with a TV is for use by guests wanting to socialise and watch TV together and it can be used as a mini-conference room for siting up to 25 socially distanced people. The gazebo with an in-built braai place on the other hand is a more quiet and formal room where guests can relax in relative calm and maybe read a book. The gazebo also hosts a mini bar and it can be utilised in the evenings by guests wanting to sit back unwind and maybe have a glass of wine with their friends.

Guest using the Pitikwe Hill Guesthouse lounges should keep noise level down so as not to disturb other guests.

Refunds

  • There will be no refunds for early departures, for breakdowns of air conditioner, heater, appliances, etc, if said breakdown is due to weather and /or other conditions over which
    the house owner has no control.

No Smoking Policy

  • Smoking in public areas is completely forbidden by law in Botswana.
  • Pitikwe Hill Guesthouse does not allow smoking in all rooms and in all common/public areas such as reception, longes etc.
  • Smoking is allowed only in designated areas.
  • The only designated smoking area is located in the north-western corner of the yard next to the swimming pool.

Environmental Policy

Pitikwe Hill Guesthouse aim to contribute positively towards a sustainable environment. Electricity and water are some of the areas where we believe Pitikwe Hill can contribute positively and the aim is to use less water and chemicals in our laundry. We kindly ask the guests for assistance towards achieving this goal by opting to use their towels more than once; if the guests choose this option; they can kindly hang all the towels they want to re-use. Should the guests want fresh towels, simply place used towels on the floor of the bathroom. Pitikwe Hill also kindly requests the guests to also consider switching off lights when they leave their rooms and only switching on lights that they need.

Guest Rooms

  • Please do not use flammables for heating, cooking or the like, irons candles, etc, in the guest room or corridors without the consent of the Guesthouse owner.
  • Cooking, eating and storing food in the rooms is not allowed.
  • Please do not use guest rooms for business activities or for any purposes other than accommodation use, without the consent of the Guesthouse owner.

Valuables, security and storage

  • If staying in the dorm room lockers are available free of charge. The management is not responsible for lost items. Please lock the doors when you leave.
  • Although the guesthouse management takes responsible steps to ensure the safety and security of all guests and their possessions, guests retain final responsibility for their own safety and security.
  • Keep rooms locked at all times when absent.

Parking Lot

  • Parking is available free of charge for all house guests at the main facility.
  • Pitikwe Hill Guesthouse has recently acquired Plot 6476 and constructed the office block for VinMarsh Interprises (Pty) Ltd and 5 secure parking areas for the guests.
  • Do not park in the way of the electrical motorized gate when in a fully open or half way open position as it closes automatically after a few seconds.
  • Do not leave any valuables inside your car while it is parked.
  • The Pitikwe Hill Guest House cannot accept responsibility for the loss or theft of any such articles while your car is parked.

Shuttle Service and Taxi

Should a guest need a shuttle service to any nearby tourist attractions or transport to the SSKIA airport, please let the front office know the day before to arrange for such. For local travel we have made arrangements with a number of trusted local taxi owners to provide transport services to our guests in and around the town including transfers to and from the SSKIA airport. Should you need assistance with getting a taxi, kindly contact front office staff. Please note that the guest is expected to settle the bill directly with the taxi driver unless prior arrangement has been made with the front office staff.

Estimated taxi rates are as follows:
Airport – BWP300.00;
Town (to and from) – BWP50.00.

Our duty officer is available 24 hrs on the property and can be reached on mobile number 7386 3092. In case of a burglary, please stay in your room but press the panic button in your room and the duty officer will deal with the security clearance after the arrival of the G4S security personnel.

In case of a fire emergency, all guests must assemble at the “Fire Assembly Point” in front of the property for a roll call.

General

  • Guests have no access to rooms and areas marked “STAFF ONLY”.

Common areas

The living room, dining room, reception, patio, gazebo, swimming pool, guest toilet, external ablutions, external shower and garden are common areas of the house, and guests are encouraged to use them to their need or recreation, nevertheless there are some rules to abide by:

Living Room

  • Guests are allowed to use this common area and its appliances i.e. TV and gym facility.
  • Eating and snacking in the living room is completely forbidden.
  • Should be kept as you’ve found it nice and tidy. If by any chance you notice any dirt please inform the management.
  • Avoid making noise or disturbing the other house guests, musical instruments, radios, televisions, stereos, and/or any other source of amplified sound shall be played at a volume that shall not disturb or annoy other guests we shall pay particular attention to limiting noise between the hours of 22:00 hrs and 08:00 hrs.
  • Restrain from making any noise outside the building, in the courtyard or directly in front of the building.

Dining Room

Please use this common area to have your meals, preparation and cooking should be conducted in the kitchen area.

Braai Area

Guests are allowed to use the braai area to prepare their meals, however, all meals will be prepared under the supervision of a resident chef. Kindly contact the front desk staff should you
want to use the braai area.

Self-Catering Room

One of the room at Pitikwe Hill is a self-catering room the facilities in this room must be kept in the following state:

  • Stove shall be clean and free of food and grease.
  • Refrigerator shall be clean. Freezer door shall close properly and freezer shall have no more than one inch of ice. Freezer shall not be over-packed so that sufficient room is allowed for air circulation.
  • Cabinets shall be clean and neat. Cabinet surfaces and countertop shall be free of grease and spilled food. Cabinets shall not be overloaded. Storage under the sink shall be limited to small or lightweight items to permit access for repairs.
  • Sink shall be clean, free of grease and garbage. Dirty dishes shall be washed and put away in a timely manner. Please put back into place all dishes, utensils, etc, properly cleaned after use.
  • Food storage areas shall be neat and clean without spilled food. Label your food in the refrigerator. Anything not labelled and in non-consumable condition, excluding condiments that are still in consumable condition, will be disposed of.
  • Trash/garbage shall be stored in a covered container until removed to the collection containers.
  • Cooking oils or grease shall not be disposed of down the kitchen drain.
  • Garbage disposal, if any, shall be used only in accordance with the disposal instructions.
  • The kitchen includes a mini refrigerator, microwave, coffee and teapot, and limited dishes, glasses, and utensils for light meal preparation. Please clean up immediately after yourself.
  • There is also a small washer/dryer available for light loads in the kitchen area, for houseguest use only.

Swimming Pool

  • The pool is at your disposal from 08h00 until 20h00. You must arrange with the Management for access to the pool outside of these hours.
  • Guests may use the pool on their own risk.
  • No children are allowed near the pool without adult supervision.
  • Keep the pool area neat and clean at all times.
  • Keep noise level at the pool area low as other guests rooms are situated directly above the pool.
  • Please inform kids not to urinate in the pool water (let us keep the pool hygienic for other guest as well).
  • If you’re part of a group stay, try to maintain occupancy time & rate at acceptable levels as the other guests may also want to enjoy the pool.

Pet Policy

  • No pets are allowed on the premises of the guesthouse.

Guest Liabilities

  • We will hold you responsible for any damage or loss caused to our property by your acts or omissions, default, accident or neglect.
  • By booking with us you agree to indemnify us and to pay us on demand an amount reasonably required to make good or to rectify such damage or loss caused by you. Normal wear and tear are excluded.
  • Please report any accidents or incidents to the guest house management in connection with any property damage.

General incapacity

The Pitikwe Hill Guest House cannot be held liable if any of the following events or conditions prevents the guest house from fulfilling its obligation to guests. However, the guest house will take necessary steps to minimize disruption and discomfort to guests under these conditions:

  • Unanticipated interruption to electricity, water, sewage to and from the guest house.
  • Industrial actions, civil uprising or criminal activity.
  • Fire, frost, flooding, wind or any other force major event.
  • Because we have several guests, we ask you to respect each other concerning cleanliness of the common areas and noise level. If we receive complaints, you will be given a warning.
    Further complaints are subject to the termination of stay. We reserve the right to end a reservation if a guest becomes a disturbance/nuisance to others including management. Please respect the house and its occupants.

Environmental Policy

The owners of Pitikwe Hill Guesthouse are dedicated to the protection of our planets resources and would encourage our guests to help us by:

  • Switching off lights when not in use.
  • Ensuring that taps are always turned off after use
  • Avoiding the unnecessary use of towels – just use what you need!
  • We will sort the recyclable rubbish collected from guest rooms i.e. paper, plastic, and metal and glass.
  • We thank you in advance for your comprehension and co-operation.

Children Policy

Children of all ages are welcome, however, the minimum age for check-in is 18 years. Children 3 years and above are considered adults at this facility.

  • Crib policy: For children 0 – 5 years – crib upon request @ BWP400 per night
  • Extra Bed Policy: For children 6 – 11 years – an extra bed upon request @ BWP350 per
    night.

Prices for cribs and extra beds are not included in the total room price. They will have to be paid for separately during your stay. The number of extra beds and cribs allowed depends on the option you choose. Check your selected option for more info. All cribs and extra beds are subject to availability.
